1. Who we are

ScanPrint is a QR based document upload service that connects customers with local print shops. This policy explains what data we collect, why we collect it, and how we protect it.

2. Data we collect

Customers (people uploading documents)

› The document file you upload (PDF, Word, image)
› Your name or phone number, only if you choose to provide it
› Your print preferences (colour mode, copies, binding, lamination)
› Timestamp of when the job was submitted

Shop owners

› Email address and hashed password (never stored in plain text)
› Shop name, URL slug, and location

3. How we use your data

› To forward your document to the correct print shop for printing
› To allow the shop owner to identify and manage your print job
› To send you a live status update while you wait
› We do not use your data for advertising, analytics resale, or any purpose other than fulfilling your print job

4. File storage and automatic deletion

All uploaded files are stored securely on Cloudinary, a cloud media platform. Jobs and their associated files are automatically expired and deleted from our database 24 hours after submission. You can also delete your document at any time before the job is printed, or optionally after printing is done, directly from the status page.

5. Data sharing

We do not sell or share your personal data with third parties, except:

› Cloudinary stores your file temporarily for delivery to the print shop
› MongoDB Atlas hosts the database that holds job and shop records
› The shop owner you submitted your job to can see your file, name/phone (if provided), and print options

6. Your rights

› Delete: You can delete your uploaded document at any time from the job status page
› Access: You can view the status of your job via the link shown after submission
› Automatic expiry: All data is automatically deleted within 24 hours regardless

7. Cookies and sessions

We use a single secure session cookie only for shop owners who are logged in. We do not use tracking cookies, analytics cookies, or any third party cookie services.

8. Security

Passwords are hashed using bcrypt before storage. All connections are encrypted via HTTPS. We follow standard security practices to prevent unauthorised access to your data.
