Privacy Policy

1. Who we are
ScanPrint is a QR based document upload service that connects customers with local print shops. This policy explains what data we collect, why we collect it, and how we protect it.
2. Data we collect
Customers (people uploading documents)
- › The document file you upload
- › Your name and phone number, only if you choose to give them
- › Your print options (colour, copies, paper size, sides, page range, binding, lamination)
- › When you submitted the job, its progress, and whether the shop has opened or downloaded your document
Shop owners and staff
- › The owner's email address and password (stored only as a secure hash, never in plain text)
- › Shop name, URL slug, and location
- › Names and passwords (also hashed) for staff accounts the owner creates
- › Which account accepted, printed, or completed each job
Everyone who visits
- › Your IP address and, when you sign in, sign up or reset a password, your email address. We use these to block abuse such as repeated attempts, and keep them for up to about two hours
- › Usage data collected by Google Analytics: the pages you visit, your device and browser type, and your approximate location
3. How we use your data
- › To send your document to the print shop you chose
- › To let the shop identify and manage your print job
- › To show you live status updates while you wait
- › If you gave a phone number, to text you when your document is ready or can't be printed (where text alerts are available)
- › To send shop owners account emails, such as email verification and password resets
- › To see how the site is used, through Google Analytics, so we can improve it
- › We do not sell your data or use it for advertising
4. File storage and automatic deletion
Uploaded files are stored on Vercel Blob, a cloud storage service. Files uploaded before we moved to Vercel Blob were stored on Cloudinary.
- › Your file is deleted as soon as the shop rejects the job, or as soon as you delete it yourself
- › Otherwise it is deleted automatically after the job expires, 24 hours after you upload it. The shop can extend this a day at a time if it needs longer. Our cleanup runs once a day, so a file can remain for up to a day after the job expires
- › The job record (your name and phone number, the file name, your options and the job status) is deleted automatically two days after the job expires
- › Shops keep daily print counts for their records. These contain no customer details
5. Data sharing
We do not sell your personal data. We share it only with:
- › The print shop you uploaded to, which sees your file, your name and phone number (if given), and your print options
- › Vercel, which hosts ScanPrint and stores uploaded files
- › MongoDB Atlas, which hosts the database of jobs, shops and accounts
- › Our SMS provider, which receives your phone number and a short message about your job, if you gave a number and text alerts are available
- › Our email provider, which sends account emails to shop owners
- › Google Analytics, which receives the usage data described above
6. Your rights
- › Delete: You can delete your document from the status page while it is waiting for approval, and again once it has been printed
- › Access: You can see the status of your job on the page shown after you upload
- › Shop owners: You can permanently delete your account, shop, staff accounts and all related data from the Setup page
- › Automatic deletion: Files and job records are removed on the schedule in section 4, even if you do nothing
7. Cookies and storage on your device
- › Sign-in cookies: Shop owners and staff who sign in get secure session cookies that keep them signed in
- › Analytics cookies: Google Analytics sets cookies to count visits and tell new visitors from returning ones
- › Your browser's storage: The upload page keeps your recent jobs and your light or dark mode choice in your browser, so your status page still works if you reload. This stays on your device
8. Security
Passwords are hashed using bcrypt before storage. All connections are encrypted via HTTPS. We follow standard security practices to prevent unauthorised access to your data.
