How to use ScanPrint

Send your files to a print shop from your phone, or take uploads at your shop's counter. Pick your part below.

For customers

Print from your phone at a shop near you, in a few taps.

  1. Step 1

    Get the app (optional)

Open wescanprint.com on your phone and tap Customer app → Install. On an iPhone, tap Share, then Add to Home Screen. No account needed. You can also do everything on the website.

  2. Step 2

    Find a shop

Tap Shops (or Find a shop near you on the website) to see print shops on a map, sorted by distance, with directions and whether they're open now.

  3. Step 3

Scan the QR code at the counter

Tap Scan and point your camera at the ScanPrint sticker. The shop's page opens. The app only opens real ScanPrint shop codes, so a fake sticker can't send your file elsewhere.

  4. Step 4

    Choose your files and send

Pick your files and set colour, copies, sides and pages, then send. If the shop lists its prices, you see what your files should cost first. Note your queue number and show it at the counter.

  5. Step 5

Need a PDF first? Convert it

In Convert: turn photos of pages into a PDF, Word, PowerPoint or Excel into a PDF, join PDFs, or turn a PDF into pictures. Then send the result to the shop.

  6. Step 6

    Track it in History

History shows each file as Waiting for the shop, Printing or Ready to collect. Tap “Notify me on this phone” after sending to get a message when it's ready.

Good to know

  • Your file stays private. The shop opens it only in the ScanPrint app, where screenshots are blocked, and it can't save a copy without your permission.

  • If the shop asks to download your file. It usually wants to fix something, perhaps as a Word file. Tap Allow (it lasts one hour) or Don't allow. Either way the shop can still print it.

  • Deleted automatically. Your file is deleted once the job expires, usually after 24 hours. You can also delete it yourself from the shop's page at any time, even after the shop has accepted it: it leaves the shop's queue straight away.

  • Camera won't open?. The Scan screen shows the steps for your phone to turn it back on, then tap Try again. Or use "Use a photo of the code" instead. The camera only reads the QR code, on your phone; nothing is recorded or sent.

For shops

Take uploads at your counter and print them safely. New shop? You create it in the ScanPrint app for Windows: get the app.

  1. Step 1

Install the ScanPrint app on your shop computer

On the Windows computer connected to your printer, open wescanprint.com and click Shop app → Download for Windows. If Edge says it “isn't commonly downloaded”, click ⋯ → Keep → Show more → Keep anyway. If Windows says it “protected your PC”, click More info → Run anyway.

  2. Step 2

Create your shop and connect the computer

In the app, click Create a shop (shops are created only in the app), or sign in with the owner account if you have one. Then click Connect this computer, once per computer. Staff can then sign in on it too. You can disconnect a computer any time on the Setup page.

  3. Step 3

    Choose your printers

Click Choose printers and pick one for black and white and one for colour (or the same). “Print to PDF” printers aren't offered, on purpose.

  4. Step 4

Put your QR code on the counter

Open QR code in the dashboard and print the sticker. It never expires. Uploads close by themselves outside your opening hours, and the uploads switch there pauses them any time.

  5. Step 5

    Accept, print, mark done

New jobs appear on the dashboard. Accept, then Print: the app prints with the customer's copies, colour, sides and pages. Click Mark done when it's ready and the customer is told.

  6. Step 6

    Need to fix a document?

Open the job and click Ask customer to allow download, saying why. Once they allow it, you have one hour to Download original or Download as Word (to edit). Delete your copy when you're done.

Good to know

  • Prices and opening hours. Add them on the Setup page. Customers see your prices, and what their files should cost, only after scanning your QR code, never on the map. The map shows whether you're open now, and outside your hours customers are told when you open.

  • Documents open only in the app. On phones and in browsers you can accept, reject and manage jobs, but customers' documents open only in the ScanPrint app for Windows. Its windows can't be screenshotted, and it has no save or copy.

  • Updates. The app updates itself. It downloads a new version in the background, then a green bar says it's ready: click Restart now, or it installs the next time you close the app. You stay signed in, connected and keep your printers. Version 1.0.1 or older can't do this yet: click Download update on the yellow bar once. When the ScanPrint website itself is updated, a note says so: click Refresh now, or it refreshes by itself when you're not using it.

  • Staff. Add staff on the Staff page. They sign in with their name and your shop code, and claim a customer before handling their files.

  • Files expire. Customers' files are deleted 24 hours after upload. Use "Keep 24 hours longer" on a job if you need more time.

Still stuck?

Customers: ask the shop at the counter. Shops: see the Windows app page or the Setup page in your dashboard.
